Course owner responsibilities
It is important to know your responsibilities as a course owner.
Changes to course contacts
You need to let us know if any contact details change for:
- course owner
- course content enquiries

Changes to course ownership
You must let us know if you have sold, transferred or reassigned ownership of your course.

(Both you and the new course owner need to sign this form.)
We will write to you (and the new course owner) to confirm we have received your advice.
We will send you a confirmation email within 20 business days of receiving your completed form.
We will then update course ownership details on the national register.
Monitoring and evaluation
As a course owner you have ongoing legal responsibilities to:
- keep records of your monitoring and evaluation activities
- provide ASQA with data from your course monitoring and evaluation
- keep all details on the national register up-to-date.
The data you collect must show your course continues to meet industry needs.
You may also wish to:
- research emerging industry trends
- liaise with industry associations and peak bodies.
Legal obligations for course owners are set by the Standards for VET Accredited Courses 2021.
Ongoing review
Ongoing review is important because it provides opportunities for continuous improvement and:
- ensures course structure and delivery is meeting student needs
- encourages engaged employers to become course champions
- ensures your course remains compliant (with legislation and accreditation requirements).
If your monitoring identifies a need to change your course, you will need to lodge an application to amend an accredited course.
Data collection
As a course owner you must plan:
- when and how to collect data
- how to collate, analyse and present your data.
RTOs delivering your course will be able to provide you with feedback about student engagement and satisfaction.
RTOs are also a valuable source of feedback from industry and employers.
(RTOs must collect this information under the Standards for Registered Training Organisations 2015).
How course data is used
The course data you send to ASQA is reviewed as part of our monitoring process.
It helps to support the continued accreditation of your course.
Your data also supports any other applications you make, such as requesting changes to your course.

You must notify RTOs with permission to use your course of any ASQA-approved changes.

When course accreditation expires
Important legal obligations
When accreditation expires you need to be aware of your legal obligations under the National Vocational Education and Training Regulator Act 2011.
It is important you comply with these obligations or financial penalties may apply.
You need to advise any registered training organisations (RTOs) that were licensed to use the course that is has expired.
Provisions to teach out current students may be available. RTOs should contact their registering body for information.

The national register is updated
When accreditation expires the national register is automatically updated to show the course as ‘non-current’.
Cease advertising the course
When accreditation expires you must immediately stop advertising or promoting the course as ‘accredited’ or as a ‘VET qualification’.
